Los Trancos Woods Community Association

Minutes of the Meeting of the Board

September 14, 2005, 7:00 p.m.

Attendees:    Jan Avilla, Nelson Dake, Linda Drey-Nightingale, Julie Duncan, Arthur Nielsen, Peri Nielsen, David Smernoff, Gale Smith, Jamie Sovereign, and Armin Staprans (portion only). Gale led the meeting.

Public Comment: None.

TreasurerÕs Report: Julie gave the treasurerÕs report.

Emergency Preparedness: The Board discussed various topics relating to the WoodsÕ preparedness in light of the recent events in New Orleans, including what to do with pets, whether a three-day supply of food and water would be sufficient, and the need to rotate supplies. Jan suggested that people be advised to review their supplies every October so they could donate older supplies in time for Thanksgiving food drives.

Picnic: Armin confirmed that the locale of the picnic would be his new property (the old Kirby property) on September 18 from 3 to 6 p.m. As agreed, the picnic would be pot luck and residents would be asked to BYOM (Bring Your Own Meat) to barbecue. Discussion ensued as to logistics and topics to present. The Board agreed that elections would be conducted and that efforts would be made to recruit for the open positions of representatives for Districts I and III, as well as a representative-at-large. We are collecting dues at the picnic ($30). The Oct/Nov newsletter will instruct residents of Districts I and III to send dues directly to Julie since there are no longer representatives for those districts.

Emergency Preparedness (contÕd): Arthur indicated that he would give a short presentation at the picnic with handouts concerning emergency preparedness (both in the event we have to evacuate our homes in short order or have to remain in our homes for an extended period of time), as well as the upcoming October drill. The Board discussed and agreed that an effort would also be made to recruit for the open positions and independent projects residents could take on to assist our emergency preparedness efforts. Arthur also reported on his idea to establish a website with a link to www.lostrancoswoods.org containing helpful information. He also wants to obtain information, such as the identities of residents who have ham radios, which could be of potential use in the event LTW lost both electrical power and cell phone signals. The main article in the Oct/Nov newsletter will be personal emergency preparedness.

Reimbursement of Vista Verde for LTW Residents Who Attended Their Picnic: Julie and Gale reported to the Board that Vista Verde had requested, after-the-fact, an additional $50 to reimburse for beverages for the LTW residents who had attended the Vista Verde picnic. The Board discussed and agreed to make an additional $50 donation but to advise Vista Verde that the usual donation was for only $50 and that the Board would prefer advance notice with respect to any additional sums, particularly given the limited amount of funds available. In addition, the Board agreed to suggest that Vista Verde ask attendees of the picnic to make donations at the time if it expected that the $50 donation will be insufficient to cover expenses in the future.

Resignations: It was with heartfelt regret that the Board accepted the resignations of Gale and Jan. The Board thanked them for their many years of service and will miss both their contributions and their company.

The next LTWCA meeting will be held at 7:00 p.m. on November 9, 2005 at 1074 Los Trancos Road.

The meeting was adjourned at 8:07 p.m.

Respectfully submitted, Peri Nielsen, LTWCA Secretary.
